How Should I Write the Pickup Address?
Estates and residences
Provide the full estate name, block number, ground-floor entrance, car park or gate. Naming only the estate for a large complex may mean the driver has to circle different entrances.
Hotels and guesthouses
Provide the hotel's Chinese and English name, branch, street number and a map pin. Areas like Tsim Sha Tsui, Mong Kok and Central have many similarly named hotels.
Village houses and rural areas
Provide the village name, house number, nearest bus stop, public road and a pin. If the village road is too narrow or restricted, meet at the nearest safe stopping point.
Hospitals
State the A&E department, main block, specialist outpatient clinic, patient entrance or taxi stand. Different buildings within a large hospital can be far apart.
Hong Kong Airport
For drop-off, provide the airline and flight time; for pickup, provide the flight number, and confirm the terminal, level and pickup area based on that day's arrangement.
Border checkpoints

How Do I Call a Taxi for Airport Drop-Off and Pickup?
To Hong Kong Airport
Besides the pickup address and time, provide the airline, flight number and departure time. The driver is only responsible for picking you up at the booked time — you must still allow the time required by the airline for check-in, security and baggage drop.
Hong Kong Airport pickup
Provide the flight number, estimated arrival time, Hong Kong destination, passengers and luggage. Even after the flight shows as landed, you still need to disembark, clear immigration, collect luggage and pass customs — contact the driver again after collecting your luggage.
Flight delay or rescheduling
Providing the flight number helps check arrival status, but it cannot fully predict immigration and luggage times. If the flight is delayed, cancelled, has a changed flight number, or lands at a different airport, update this as soon as possible through your original booking channel.
"The plane has landed" doesn't mean "the passenger can board a taxi"
The actual pickup time needs to account for taxiing, parking at the gate, disembarking, immigration, luggage and customs. For a pickup booking, ask clearly about free waiting time, parking, what happens if contact is lost for a long time, and the flight delay policy.

Groups, Large Luggage and Special Needs
Large suitcases
Provide the number of large and hand luggage items. A free luggage arrangement is just a fee policy — it doesn't mean an ordinary taxi has unlimited capacity.
Travelling as a group
Adults and children both count toward the passenger total and must not exceed the vehicle's registered capacity. A group with lots of luggage may need two vehicles.
Strollers
Provide the folded size and other luggage quantity, to avoid the driver finding the boot too small on arrival.
Wheelchairs and canes
State whether the wheelchair folds and its size. Wheelchairs and canes a passenger needs due to disability are exempt from the luggage surcharge by law.
Travelling with pets
State the animal type, quantity and whether a pet carrier is used when booking. Confirm the statutory animal surcharge or fleet arrangement in advance.
Golf bags and oversized items
Golf bags, bicycles, musical instruments and other oversized items may not fit an ordinary taxi — provide the size and quantity.

Don't request a cross-district pickup just because green or blue taxis are cheaper

Payment, Electronic Payment and Receipts When Booking
Hong Kong taxi drivers must provide at least one QR-code and one non-QR-code electronic payment method, but the actual brands supported vary by vehicle. State your requirement at booking if you must use a specific payment method.

Changing the Time, Address, Cancellations and Missed Pickups
Need to change the time
Notify via the original booking conversation as soon as possible, providing the old date, old time and new time. Get a clear confirmation of the change — don't just send "delayed by half an hour" and assume the driver has received and agreed to it.
Need to change the destination or add a stop
A change in route and distance affects the meter or flat fare; if a green or blue taxi was originally arranged, a new stop may also exceed the statutory operating area. The vehicle type and price must be reconfirmed before boarding.
Cancelling a booking
Notify as early as possible, especially if the driver has already set off or arrived at the pickup point. Whether a cancellation fee, deposit or other cost applies depends on the terms confirmed at booking.
Passenger running late
If you can't arrive on time, notify immediately. The airport, hotels, busy roads and restricted zones may not allow a taxi to wait for a long time — the driver may need to circle around or leave.
Any significant change needs to be reconfirmed
If the date, time, pickup point, destination, stops, vehicle type, luggage or payment method changes, get a new confirmation. The original quote may not apply to the changed trip.
Boarding Checks and Ride Safety
- Check the plate number carefully, not just the vehicle colour or model.
- Check the valid driver's identity plate and vehicle registration number displayed inside.
- Confirm the destination and pricing method match your booking.
- Wear your seatbelt if the passenger seat has one.
- At night, you can share the plate number, trip and live location with someone you trust.
