How to Book an Airport Taxi｜Three Steps, With the Checklist You Need
Booking a Hong Kong airport taxi really comes down to three things: send the right trip details all at once, confirm the price and what it includes, and check the registration number before boarding. Most travellers can do the whole thing by WhatsApp text, or call 5584 6444. If you are being picked up, note that arrivals and meeting at Hong Kong International Airport are currently at Terminal 1, where the arrivals hall is split into Area A and Area B.
The Three-Step Booking Process

Step one: send all the trip details at once
Say whether it is a pick-up or a drop-off, the date, the time, the pick-up address, the destination, the number of passengers and the number of bags — plus the airline and flight number for an airport trip. The more complete it is, the faster the reply and the quotation. -
Step two: confirm the price and what it includes
Confirm whether it is a flat fare or a meter discount, and have the usual road charges, the ordinary baggage charge, airport parking, extra waiting and any second stop set out. Confirm too whether a red, green or blue taxi is being arranged. -
Step three: check the registration number and board
Once you have the dispatch confirmation and the registration number, meet at the agreed spot. If you are being picked up, get in touch after clearing immigration and collecting your bags, and say which arrivals hall you are actually coming out at — Area A or Area B.
The Most Common Misunderstanding: Sending a Message Is Not a Booking
Delivered, read, an emoji reaction or an automatic reply do not mean a driver has taken the job. It is only booked once both sides have confirmed the date, time, pick-up point, destination and the price or fare basis, and you have the dispatch or registration details.

Meeting Arrangements at Hong Kong Airport
Arrivals and meeting are at Terminal 1
Arrivals and meeting at Hong Kong International Airport are currently at Terminal 1, where the arrivals hall is split into Area A and Area B. Terminal 2 is at this stage mainly for departing passengers, so even if your flight checks in at T2, you will still come out through the T1 arrivals area when you land back in Hong Kong.
Check the screens for A or B first
Which area a flight comes out at depends on the stand, the baggage belt and the immigration arrangements. Check the arrivals information screens first to confirm your flight's arrivals hall, then tell the driver A or B.
Tell the driver once you have your bags
After a flight shows as "arrived" you still have to get off, clear immigration, collect your bags and pass customs. We suggest telling the driver once you have your bags and are ready to leave the arrivals area, then going to the pick-up point your booking specifies.
The Three Things a Pick-Up Needs
- The flight number and the arrival date.
- The arrivals hall you are actually coming out at — Area A or B.
- A way to reach you by message after you land.
Airport Pick-Up Arrangements Change
Airport traffic measures, pick-up and drop-off points and signage can change because of works, events or crowds. Go by the airport's signs on the day and your own booking messages; where the signs on site differ from older information, the signs on site win.

Which Class of Taxi Will Be Arranged?

When Should You Book?

A Language Barrier Is No Obstacle to Booking
Confirm the details in writing
Having the address, flight, destination and any special requirement confirmed as text at the booking stage reduces spoken misunderstandings and makes it easy to check later.
Send a map pin
For a village house, a new development area, a hotel with a common name or a large estate, attach a map link or a pin so the driver does not go to the wrong entrance.
Keep the address in Chinese and English
Overseas travellers can save the hotel name and street in both Chinese and English, which makes checking the destination easy when boarding.
Stay reachable by message
After landing, switch on roaming or use a Hong Kong SIM, an eSIM or airport Wi-Fi so you can receive the dispatch and meeting details.

The driver works from the confirmed address
The trip details are settled at the booking stage, so the driver can simply drive to the confirmed address — no long conversation needed.
How Should You Describe Passengers and Baggage?
- List adults and children separately; both count towards the total number of passengers.
- Give the number of large cases, and flag any oversized or overweight one.
- Hand baggage, backpacks and paper bags take up cabin space too.
- For a pushchair, give the rough size folded.
- For a wheelchair, say whether it folds; a wheelchair or cane needed because of a disability carries no baggage surcharge by law.
- For a golf bag, bicycle, instrument or sports equipment, give the length and the number.
- If a pet is travelling, say what species, how many, and whether there is a carrier.
- The total number of people must not exceed the vehicle's registered capacity; beyond that, two vehicles should be arranged.
No Baggage Charge Does Not Mean Unlimited Capacity
"No baggage charge" is a pricing arrangement. A taxi boot has a real space limit, and baggage must not block the driver's view, the doors or the seat belts. Adding a large item at the last minute can mean the vehicle arranged cannot carry you safely.
Payment Methods and Receipts
Hong Kong taxi drivers must offer at least one QR-code and one non-QR-code electronic payment method, but the brands supported differ from vehicle to vehicle. If you must use a particular method, raise it when you book and get it confirmed.

Changes of Time or Address, Delays and Cancellations
A delayed or rescheduled flight
As soon as you can, send the latest arrival or departure time and the new flight number through the original booking conversation. If the flight is cancelled or diverted to another airport, the original arrangement may no longer apply and has to be confirmed again.
Changing the pick-up time or address
Give the original date and time plus the new details, and wait for a clear confirmation. A change of time, address or destination can affect the journey, the class of vehicle and the price.
Adding a stop at the last minute
An extra stop changes the distance and the waiting time; and if a green or blue taxi was arranged, the new stop may fall outside its statutory operating area, so it must be confirmed again before boarding.
Cancelling a booking
Tell us as early as possible, especially once the driver has set out or arrived. Whether a cancellation arrangement or an amount already paid is involved is handled under the terms confirmed at the time.
Any Significant Change Needs a New Confirmation
Once the date, time, pick-up point, destination, class of vehicle, baggage or payment method changes, the original quotation may not apply. Get a new written confirmation rather than discovering the terms have changed after boarding.
Checks and Safety Reminders Before Boarding
- Check the registration number character by character — not just the body colour or the model.
- Look at the valid driver identity plate and the vehicle registration number displayed in the cabin.
- Confirm the destination and the fare basis match your booking.
- Where a seat has a belt you must wear it, in the back as well.
- At night, you can share the registration number and the trip with someone you trust.
- Do not follow a stranger who touts for business in the airport or a hotel lobby and cannot produce lawful taxi details.
- Ask for a receipt after paying, and check the seat, the footwell and the boot before you leave.
- If you face immediate danger, a crime or a serious incident, call Hong Kong emergency services on 999.

Where Bookings Most Often Go Wrong
Getting a small-hours date wrong
"Tonight" or "early Monday" can easily mean two different dates. Write the full year, month and day, and a 24-hour time.
Writing only "to the airport"
Without the flight time, there is no way to work back to a sensible pick-up time. Give the airline and the departure or arrival time.
Not saying A or B on a pick-up
The Terminal 1 arrivals hall is split into Areas A and B. Leave it unsaid and you end up hunting for each other.
Forgetting to mention large bags
Several big cases appearing at the last minute can exceed what the vehicle can safely carry.
Asking to pay by card after boarding
Every vehicle supports different electronic methods; a specific one should be confirmed when booking.
Being vague about a crossing
"Lok Ma Chau" can mean Futian or Huanggang; and "the Macao crossing" is not the same as the Hong Kong–Zhuhai–Macao Bridge Hong Kong Port.
