Hong Kong Business and Corporate Airport Transfers|Taxis for Company Visitors, Teams and Meetings

Transfers for company visitors, executives, colleagues on business and small teams: Hong Kong airport pick-ups and drop-offs, hotels and commercial buildings, meeting venues, exhibitions, the cruise terminal and the Hong Kong boundary crossings. For each trip, the date, flight, address, class of vehicle, price, baggage, payment and receipt arrangements can be confirmed on WhatsApp first, which makes administrative coordination, internal approval and expense claims straightforward.

What Business Transfers Cover

✈️

Meeting a flight at Hong Kong airport

Meeting visitors from overseas, business representatives, company guests and new staff on arrival. It can be coordinated on the flight number, with the meeting confirmed once immigration and baggage reclaim are done.

🛫

Hotel or office to the airport

Straight from Central, Wan Chai, Tsim Sha Tsui, East Kowloon, Science Park or another business district to Hong Kong International Airport.

🏢

Commercial buildings and meeting transfers

Point-to-point between hotels, offices, conference centres and commercial buildings — for business travellers on a tight schedule who need the address confirmed precisely.

👥

Teams and several vehicles

Vehicles can be allocated by passenger group, baggage and flight; where the people or bags exceed one vehicle's capacity, a larger class or several taxis can be compared.

🛂

Boundary crossing transfers

Within Hong Kong, to Shenzhen Bay, Futian, Huanggang, Heung Yuen Wai and the Hong Kong–Zhuhai–Macao Bridge Hong Kong Port.

🚢

Cruise and exhibition transfers

Kai Tak Cruise Terminal, AsiaWorld-Expo, conferences and major events, arranged around disembarkation, the event and the baggage.

A Business Taxi Is Not a Chauffeur-Limousine Concierge Service

This service is built on licensed Hong Kong taxis and confirmed vehicles, with the emphasis on lawful carriage, written confirmation, point-to-point trips and real traffic arrangements. If you need a named make of car, professional concierge, a name board at arrivals, a full-day charter, a dress code for the driver, drinks in the car or any other premium service, it must be raised before the quotation and confirmed in writing.

Item An ordinary business taxi transfer Needs separate confirmation
Licensed point-to-point transfer Can be arranged —
A written price and trip confirmation Yes Needs reconfirming once the trip changes
A machine-printed fare receipt Passengers may ask the driver for one A format of document the company specifies must be asked about first
A specified model or make Not automatically included Availability must be confirmed in writing
A name board at arrivals Not automatically included The arrangement, the position and any charge must be confirmed
Monthly billing or a corporate account Does not apply automatically Approved case by case on the company details and the volume of trips
A through cross-boundary trip An ordinary Hong Kong taxi may not cross the boundary The licensed cross-boundary eligibility must be verified separately

Do Not Turn "Can Be Requested" Into "Guaranteed"

A specified luxury model, a six-seater, a name board, monthly billing, a regular driver and a through cross-boundary trip all depend on availability or extra eligibility. Unless it is set out in that quotation and confirmation, it should not be treated as automatically included.

The Corporate Booking Process

  1. Build the trip record: set out whether it is a pick-up or a drop-off, the date, the time, the flight, the origin, the destination, stops en route, the number of people and the baggage.
  2. Name a company contact: give one person who can receive dispatch, flight delay and trip change messages immediately.
  3. Confirm the fare basis: choose a flat fare or another agreed basis, and set out the road charges, baggage, parking, waiting and any second stop.
  4. Confirm the class and number of vehicles: arrange one or several vehicles against each passenger group, the registered seats and the luggage space.
  5. Confirm payment and documents: specify cash, electronic payment, receipts, the company name for invoicing, or an approved monthly billing arrangement.
  6. Receive the dispatch details: check each vehicle's registration number, which passengers it is for, the pick-up point and the contact method.
  7. Check after the trip: keep the booking confirmation, the fare receipt and the electronic payment record for the company's expense claim.

Build a Separate Record for Each Traveller or Group

Where several flights land on one day, we suggest a separate record for each flight or each group of travellers — with an identifying label, the flight number, the destination and the assigned driver — so that passengers from flight A are not sent to the vehicle for flight B.

What a Corporate Booking Needs

Detail Airport pick-up Drop-off/meeting transfer
Company details The company name and main contact The company name and main contact
Traveller identification A name, initials or an internal company identifier The passenger or group name
Date and time The arrival date and expected arrival time The full pick-up date and the time on a 24-hour clock
Flight details Airline and flight number The airline, flight number and departure time
Pick-up point T1 arrivals hall Area A/B, or a specified pick-up point The hotel, commercial building, meeting venue, estate or pier entrance
Destination The full hotel, office, meeting, crossing or home address Airport T1/T2, a hotel, an office or an event venue
Passengers and baggage Adults, children and every large bag The number per group, the baggage and any special items
Payment and documents Who pays, electronic payment, and receipt requirements The payment method, a cost centre or an internal reference
Emergency contact The traveller and the Hong Kong company contact The trip owner and an on-site event contact

Do Not Send Unnecessary Sensitive Data Over Ordinary WhatsApp

Arranging a taxi generally needs no full passport, ID card, credit card number, company login password or confidential meeting document. Give only what is genuinely needed to complete the transfer, and handle sensitive information the way your company approves.

Hong Kong Airport T1 and T2 for Business Travellers

Arrivals and pick-ups: still T1

Arrivals and meeting at Hong Kong International Airport currently remain at Terminal 1, where the arrivals hall is split into Area A and Area B. Travellers should check the arrivals information screens, confirm which exit they are actually coming out at, and then tell the driver or the company contact.

Departure check-in: some airlines use T2

Terminal 2's departure facilities opened in May 2026, and some airlines have moved to T2 in phases for check-in, bag drop, security and immigration, before going on to the T1 boarding gates. Other airlines may still check in at T1.

Give the airline when booking a drop-off

Do not just write "to Hong Kong airport". When booking, give the airline, the flight number and the departure time, and check with the airline before you travel whether check-in is at T1 or T2.

Checking in at T2 Does Not Mean Boarding at T2

At this stage, some travellers who complete check-in, bag drop, security and immigration at T2 still take the automated people mover, or follow the signs, to the T1 boarding gates. Travellers on a late flight should also note the airport's walking and people-mover arrangements on the day.

Flight Delays and Waiting for a Pick-Up

The situation What the company or the traveller should do What needs confirming again
Flight delays Send the latest expected arrival time through the original booking channel immediately The driver arrangement, the free waiting and the parking cost
Arriving early Update us after landing, but do not assume the driver can arrive earlier straight away The new meeting time
Flight number changed Give the new airline, flight number and date The trip record and the pick-up details
Cancelled or diverted Send the airline's notice as soon as you can Cancellation, rescheduling or a new airport arrangement
Baggage delayed Say you are still at baggage reclaim and roughly how it is going The waiting arrangement and whether the driver has to leave
The traveller is out of contact The company contact should help confirm the traveller's status The maximum waiting time and what follows

Flight Tracking Is No Substitute for Hearing From the Traveller

A flight number only shows the aircraft's arrival status; it cannot tell when a traveller finishes immigration, baggage reclaim and customs. Once they have their bags, the traveller should get in touch again and say which T1 arrivals hall they are actually coming out at — Area A or B.

For late-night flights see Small-Hours and Red-Eye Airport Taxis.

What Should a Corporate Transfer Quotation Set Out?

  • The full Hong Kong pick-up address and the destination.
  • Whether it is a pick-up, a drop-off, a meeting, an event, a cruise or a crossing trip.
  • One way, return, on standby for the day, or over several days.
  • A flat fare, the statutory meter or a meter discount.
  • The usual tunnel, road and cross-harbour return charges.
  • Arrangements for ordinary baggage and oversized items.
  • Parking at the airport, a hotel, a shopping centre or an event venue.
  • How much free waiting there is and what is charged past it.
  • Rules for stops en route, separate drop-offs and a last-minute change of address.
  • A specified class of vehicle and its actual registered passenger seats.
  • The payment method, any electronic payment platform fee, and receipts.
  • Changes, cancellation, a no-show, and what happens once the driver has set out.

A Written Confirmation Helps Budgeting, But It Does Not Make the Trip Freely Changeable

A flat fare is normally based on the confirmed origin, destination, time, passengers, baggage and stops. If passengers, a stop, baggage, waiting or a move to another district is added at the last minute, the price and the vehicle arrangement should be confirmed again.

For fare information see How Hong Kong Taxi Fares Work, the Surcharge Guide and the fare calculator.

Receipts, Payment and Company Expense Claims

Document/payment Used for Note
A machine-printed fare receipt Proves the taxi trip and the fare Passengers may ask for one; best raised before arriving
A handwritten fare receipt Used when the printer fails Should be filled in as the rules provide
The booking and quotation confirmation Records the origin, destination, date and agreed price Not the same as a machine-printed fare receipt
An electronic payment record Proves the amount paid and the transaction Does not necessarily carry the full trip details
A document in the company's name As your accounting requirements provide Do not assume every driver can produce a specified format; ask in advance
Monthly billing Consolidated payment under an approved corporate arrangement Does not apply automatically without written approval

The 2026 Electronic Payment Rule

Hong Kong taxi drivers must offer at least one QR-code and one non-QR-code electronic payment method, and passengers may still pay cash. The brands each vehicle actually supports may differ; if your company only accepts a particular credit card, Octopus or e-wallet, it must be confirmed when booking.

A Payment Platform Record Is Not a Formal Fare Receipt

For a company expense claim, it is best to keep three things: the written booking or quotation, the taxi fare receipt, and the payment record. If your company needs a particular document format, a cost centre, a project number or its own name on the document, confirm whether that can be provided before setting up a corporate arrangement.

For the detailed payment rules see Hong Kong Taxi Payment Methods and the Payment Methods Guide.

Small Teams, Several Vehicles and Large Baggage

👥

A group of 2 to 4

You can generally start by asking about one ordinary taxi, but still account for large bags, a pushchair and anything else.

🚐

A trip for 5 or 6

The law allows a taxi to be registered with up to 6 passenger seats, but the actual seats differ from vehicle to vehicle, so the model and the luggage space must be confirmed.

🚕

Several taxis

Give each vehicle its own registration number, passenger group, baggage allocation and destination, so the team does not split up and board the wrong car.

🧳

Exhibitions and samples

Large display boards, product samples, photographic equipment, instruments or equipment cases need their length, width, height and weight given; an ordinary taxi may not suit.

♿

Accessibility needs

Say whether the wheelchair folds, its dimensions, what help is needed getting in and out, and the accessible entrance at the destination, so it can be arranged properly.

📋

The passenger list

Initials, a department or a group name can be used to allocate vehicles, so identity details need not be sent over ordinary channels.

For the detailed vehicle and baggage arrangements see Airport Taxis for Groups and Large Luggage.

Meetings, Exhibitions, Cruises and Hotels

Kind of trip What to give Time buffer
Meetings and business calls The building's full name, the street, the entrance, and when the meeting starts Allow time for building registration, the lifts and the traffic
AsiaWorld-Expo The event name, the start or finish time, and the airport or hotel destination Heavy crowds and traffic as it empties out
Hong Kong Convention and Exhibition Centre The convention wing, the exhibition wing, the hotel, or a specified pick-up point Wan Chai road closures, exhibitions and major events
Kai Tak Sports Park The event name, the gate, the finishing time and the actual pick-up point Temporary closures and crowd control
Kai Tak Cruise Terminal The ship's name, the berthing time, the expected disembarkation and the baggage Immigration, baggage reclaim and everyone disembarking at once
Hotel transfers The hotel's full name in Chinese and English, the branch, the street number and the vehicle entrance Queues at the hotel entrance and no-stopping restrictions

For popular destinations see Central and Hong Kong Island Hotels, Tsim Sha Tsui Hotels, Kowloon Hotels and Kai Tak Cruise Terminal.

Corporate Boundary Crossing and Cross-Boundary Trips

Destination What a Hong Kong taxi does Note
Shenzhen Bay Takes you to the public transport interchange in the Hong Kong port area Passenger clearance generally 06:30–24:00
Futian crossing Takes you to the Lok Ma Chau Spur Line Control Point public transport interchange Usually 06:30–22:30
Huanggang crossing By day, to San Tin to change to a Huanggang shuttle; overnight, under the Lok Ma Chau Control Point arrangements Clearance 24 hours
Liantang/Heung Yuen Wai Takes you to the Heung Yuen Wai Control Point public transport interchange Usually 07:00–22:00
Hong Kong–Zhuhai–Macao Bridge Hong Kong Port Takes you to the Hong Kong Port public transport interchange Clearance 24 hours, with shuttle buses

An Ordinary Hong Kong Taxi May Not Drive Into Shenzhen, Macao or Zhuhai

Ordinary red, green and blue taxis handle the Hong Kong leg only. A genuine through cross-boundary trip needs a vehicle with a valid hire car permit and the relevant cross-boundary eligibility; a company should not judge legality on the label "dual-plate car" alone.

See Hong Kong to Shenzhen Crossing Transfers, Shenzhen Bay Control Point, Lok Ma Chau/Futian/Huanggang, Liantang/Heung Yuen Wai and Hong Kong–Zhuhai–Macao Bridge Hong Kong Port.

Regular Bookings, a Single Contact and Monthly Billing

Regular bookings

A company can give us its expected monthly volume, its usual origins and destinations, departure time slots and vehicle needs, and ask whether a simpler booking process can be set up. Each trip should still have its date, time, passengers and baggage confirmed.

A single point of contact

Trips can be submitted centrally by an administrator, a secretary, a travel department or an event owner. But the traveller should also have an emergency contact method, so a small-hours problem, a flight delay or a diversion on site does not have to be relayed through a third party.

Monthly billing and corporate accounts

For monthly billing, give us the company details, the expected volume, the payment cycle, the reconciliation fields and the documents needed. Monthly billing has to be confirmed by both sides; until it is approved, do not assume every employee's trip can be billed to an account.

Internal company references

If your company needs a cost centre, a department, a project number or a visitor number, give it when you submit the trip, and confirm whether it will appear on the booking summary or any other document.

"Monthly Billing" and "a Machine-Printed Taxi Receipt" Are Two Different Things

A machine-printed receipt comes from the equipment in the taxi; monthly reconciliation, a document in the company's name and consolidated payment are a corporate arrangement. A company should confirm clearly which documents and which formats it needs before the service is set up.

Business Traveller Safety and Data Privacy

  • Check the registration number, the class of vehicle and the booking details character by character before boarding.
  • Look at the valid driver identity plate and the vehicle registration number displayed in the cabin.
  • Where a seat has a belt, the passenger must wear it.
  • The company contact can keep the registration number, the passenger grouping and the trip status.
  • Do not send a full passport, ID card, credit card or security password in an ordinary group chat.
  • Meeting documents, laptops and phones remain the passenger's own to look after.
  • Check the seat, the footwell and the boot before you leave the vehicle.
  • If there is immediate danger to a person, a crime or a serious incident, call Hong Kong emergency services on 999.

Reviews and Trip Records Need Privacy Protection Too

If a company would like to give a review or a case study, it should not publish a passenger's full name, phone number, home address, flight booking, internal itinerary or payment details. On review transparency see our Customer Review Policy and More Customer Reviews.

Business and Corporate Transfers: Frequently Asked Questions

You may ask the driver for a machine-printed fare receipt; if the printer fails, a handwritten one should be given. For an expense claim, also keep the written quotation and the electronic payment record.

Yes, confirmed against the full trip details, setting out the address, date, time, class of vehicle, fare basis, road charges, baggage, parking, waiting and stops en route.

You can ask. Give us the monthly volume, the usual routes and the times; whether a standing process can be set up depends on availability and both sides confirming it.

Monthly billing does not apply automatically. We need the company details, the volume, the payment cycle and the document requirements for a case-by-case decision; until it is approved, each trip is paid for as usual.

Yes. We suggest a separate trip record for each flight or each group, setting out the identifying label, the flight, the contact method, the destination, the baggage and who is paying.

Arrivals and meeting are currently at T1, where the arrivals hall is split into Areas A and B. T2 at this stage handles mainly departure check-in, bag drop, security and immigration for some airlines.

Update the arrival time immediately. Free waiting, parking and what happens if contact is lost for a long period should be confirmed when booking; get in touch again once the bags are collected.

Yes, but give us every passenger, bag and the dimensions of any special item. Where it exceeds what one vehicle can safely carry, several vehicles should be arranged.

You can ask, but a particular make, model or number of seats is not guaranteed to be available. It must be confirmed in writing before you accept the quotation.

You can ask. The brands each vehicle supports differ, so if your company only accepts a particular card or e-wallet, it must be confirmed when booking.

Yes. Every stop, the order, the waiting and the contacts need giving before the quotation; adding a stop may mean requoting.

We can arrange a transfer to a crossing within Hong Kong. An ordinary Hong Kong taxi may not cross the boundary; a through cross-boundary trip needs the vehicle's hire car permit and cross-boundary eligibility verified separately.

No road transfer can rule out traffic, weather, a closure or a sudden problem with a vehicle. Booking ahead reduces uncertainty, but still leave a buffer and a fallback.

An ordinary taxi transfer within Hong Kong needs no full passport, ID card or credit card details. Send only the basic trip and contact information needed to arrange the transfer.

Submit Your Company Trip and Get a Written Transfer Plan

Give us the flight, the date, the address, the number of people, the baggage, the number of vehicles, and your payment and receipt requirements. We will confirm the price and the arrangements against the actual trip, rather than substituting a vague "all-in" for the terms.

Service and information statement: this page describes business and corporate transfer arrangements built on licensed Hong Kong taxis. A specified luxury model, a vehicle with 6 passenger seats, a name board, a regular driver, monthly billing, a document in the company's name and a through cross-boundary trip are not automatically included: each must be confirmed separately on availability, eligibility and a written quotation. Passengers may ask for a machine-printed fare receipt, and should be given a handwritten one if the printer fails. Since 1 April 2026, taxi drivers must offer at least one QR-code and one non-QR-code electronic payment method, but the brands each vehicle supports differ. Hong Kong airport T2 currently handles mainly departure check-in, bag drop, security and immigration for some airlines; arrivals and meeting remain at T1. Airport, airline, road and traffic arrangements may be adjusted, so the latest official notices and each booking confirmation prevail. Last updated: 31 August 2026.
